Legacy POS vs. Cloud Managed POS
Legacy POS Systems have been around for decades and are quickly becoming a dying breed due to new cloud based technology. Heartland Restaurant Cloud Managed POS can help reduce your cost of implementing and maintaining a Point of Sale system.
Below are some of the items to consider when deciding on spending tens of thousands of dollars on a legacy traditional pos system, or getting the latest subscription based cloud managed pos technology with a smaller upfront cost.
What's the Difference?
Traditional POS
Cloud Managed POS
Microsoft Windows based Back Office Fileserver
Expensive to purchase. When Microsoft retires the version of Windows, must purchase a new fileserver with new operating system to maintain compliance. This process continues to be repeated over time.
No Back Office Fileserver, No Microsoft operating systems
With Cloud Managed POS, you log into your web portal using a web browser from anywhere, anytime, on any device.
Expensive to Maintain the Fileserver
As with most traditional pos systems that require a fileserver, additional services and costs need to be in place to maintain it, including:
Cloud Backup Disaster Recovery should something happen to the hard drive
Business class Managed Antivirus
Web Protection for employees surfing the web
Remote Monitoring Management tools for health checks and patch updates
Hardware warranty replacement service contracts
No Fileserver
Since there is no fileserver, you don't have to worry about the ongoing costs involved in having to maintain one or losing all of your important data when something happens. Because everything is in the cloud, all of your sales history is safe and secure.
Program changes are made on the pos system at the store.
Program changes are made from a web browser, anywhere, anytime, on any device by logging into the web portal.
Remote Access to the Store Back Office
Additional tools are needed (using two-factor authentication for compliance)to remote in to the store to run reports and/or make program changes to the pos system. Some of these remote access tools do not use two-factor authentication which are contributing factors of data breaches.
Cloud Managed System
Everything is easily managed in the cloud by using a web browser to log into your admin portal. You and your management team can easily view dashboard analytics, run reports, update program changes, and publish live updates to the store, anywhere, anytime, from any device.
Microsoft Windows based Touch Screen Terminals
Expensive to purchase. When Microsoft retires the version of Windows, must purchase new touch screen terminals with new operating system to maintain compliance. This process continues to be repeated over time.
iPad based Touch Screen Devices
The Heartland Restaurant apps run on iPads, which are much less expensive, can be faster and more reliable than the traditional Microsoft Windows based touch screen terminals. iPads also have built in Proximity sensors which provides a perfect integration to the Heartland Restaurant Guest app.
Card Holder Data "In Scope" of the POS System
As with most traditional pos systems, cards are swiped and then the card holder data is encrypted and stored to be batched later. During batch settlement, the data is unencrypted and full card holder data is then sent to the processor for settlement. It's during this time that most data breaches occur at sites infected with a memory scraper. As required for PCI DSS, a firewall must be installed and maintained to protect Card Holder Data.
Card Holder Data "Out of Scope" of the POS System
Heartland Restaurant uses encrypted card readers and emv chip devices that convert any swiped or dipped cards into tokens. There is no card holder data in the Heartland Restaurant system. Only tokens are sent to the processor gateway to process transactions.
Expensive POS Software Upgrades Costs
To maintain PCI DSS compliance when card holder data is in scope of the POS system, software upgrades must be to purchased.
No Additional Costs for POS Software Upgrades
All updates and enhancements to the Heartland Restaurant web portal and Heartland Restaurant apps are included in the Cloud Managed POS subscription at no additional costs. On average, updates are released every other Tuesday. All updates are posted to your web admin portal so that you are always in the know of when something new is released.
Expensive Costs for Additional Features
Most all traditional pos systems charge extra for those additional solutions needed such as cloud reporting, mobile data analytics, online ordering, mobile guest engagement app, loyalty app, etc.
Everything Included in the Subscription
Heartland Restaurant is a subscription based Cloud Managed POS system, and since it all starts in the cloud, that infractructure is already in place to offer all of those additional features at no additional costs, so you don't get nickel and dimed to pay extra for what should be already included anyway.
